Accessing SharePoint

Step 1: Go to office.com and sign in using your S# and MyACC Password.

Step 2: Once you’ve signed in, select the Waffle Icon in the top left corner, then SharePoint from the Apps menu. If SharePoint is not listed, select Explore all your Apps to see all Microsoft Apps organized by category. You can also use the Search bar to search for specific apps, or find SharePoint under the Productivity tab.

SharePoint Start Page

The SharePoint Start Page can be accessed from anywhere within SharePoint by selecting the Home button:

The Recent section contains SharePoint sites that you have visited recently, and allows quick access back to them. To the right of a SharePoint’s name in Recent, you can select the Star icon to favorite a SharePoint and add it to the Following tab (if no SharePoint sites are starred, the Following tab will not appear.) You can select the Star again to unfollow a site.

In the center of the page, there is the News from sites section. This section contains news updates from any sites you are following or have visited. Selecting the Ribbon icon on the bottom left of a news post will add the post to the Saved for later section, so you can view the post at a future date (if no news posts have been saved, the Saved for later section will not appear).

Finally, the Frequent sites section contains SharePoint sites you visit frequently. This section also allows you to Star SharePoint sites to add them to the Following Section.

Searching SharePoint

The Search feature of SharePoint may function differently depending on where in SharePoint you are. If you are on the SharePoint Start Page, the Search bar will search all SharePoint sites you have access to for files, SharePoint sites themselves, and people at the institution.

If you use the Search feature within a SharePoint site however, the Search will only look within the site you are in.



Sites for Document Management

SharePoint has two types of sites: Sites for Document Management and Communications Sites. Sites for Document Management are designed to share and store documents among a group (or team). As indicated in the provided screenshot, sites for Document Management can have sections similar to Communications Sites (such as News sections), but these features are best utilized in Communications Sites which will be shown later in this document.



Documents Tab

The documents tab of a site for Document Management is where all the documents are stored, and functions as the main page of a Site for Document Management. All documents in the Documents tab are accessible by all members of the SharePoint Site. You can see the members of a SharePoint site by selecting Members on the top right.

Managing Files

To create a new file directly within SharePoint, select the New button on the top left. Here, you can select which type of file you’d like to create, including Word, Excel, PowerPoint, a OneNote Notebook and more. You can also create Folders from this area to organize your files.

You can also upload files or folders by selecting the Upload button in the top left. You can choose to upload files or folders, and the Windows File Explorer or Mac Finder will open for you to select files to upload.

Finally, you can drag and drop a file from the Windows File Explorer or Mac Finder directly into SharePoint. A dotted line will appear around the location you are placing the file or folder, either around the entire Documents section or around a Folder (you can place files directly into folders within SharePoint).

You can delete files by selecting the file and selecting the three horizontal dots that appear.

You can Restore (or permanently Delete) files from the site’s recycle bin as well (make sure that the bubble next to any files you’d like to restore or permanently delete is checked).

Communications Sites

SharePoint has two types of sites: Sites for Document Management and Communications Sites. Communications Sites are designed for communicating information outside of a team.

Updates from Instruction is a news section where news posts from across the Instruction Communication SharePoint is posted.

The Events, Activities, Deadlines, etc. section contains tiles with event information, including dates, times, locations and descriptions.

Pages connected to a SharePoint Communications Site can have these sections as well. For example, the ACC-Instructional Technology Communications Page is a subpage of the ACC-Instruction Communications Site but has a separate News section (this section contains news for ACC-Instructional Technology only, but the main ACC-Instruction Site can pull the news posts and display them as well.)

The ACC-Instructional Technology Page also has a Quick Links section, which contains links that can both link within SharePoint and to external websites.

A subpage of these pages can also have separate items, such as on the Tech Training @ ACC Page, which is a subpage of the ACC-Instructional Technology Page. The Tech Training @ ACC Page contains a Quick Links section that has separate links from the ACC-Instructional Technology Page, as well as a Microsoft Form that visitors can complete.
